Clinic Hours: Monday to Saturday, 9 am to 7:30 pm
Shift Schedule: 5 x 8 hrs, potential transition to 4 x 10 hrs in June 2026
Location: 718 El Camino Real, San Carlos, CA 94070

Key Responsibilities:
  • Greet clients and their pets with warmth, empathy and professionalism. Demonstrate excellent relations with clients/pets in waiting and/or exam rooms.
  • Ensure that clients and pets feel welcome and comfortable.
  • Serve as “Ambassadors” of creating and maintaining goodwill for the hospital.
  • Build rapport with clients and pets.
  • Greet clients and pets by name.
  • Help new clients completely fill out the registration form. Inform new clients about the hospital’s services, etc.
  • Exceed the client’s expectations of service.
  • If there is a delay, keep clients informed of the expected waiting time.
  • Answer phone calls, schedule appointments, and manage the clinic’s calendar and appointment schedule.
  • Maintain accurate patient records and ensure all information is up-to-date. For example, update vaccination status before or at the time of appointment check-in.
  • Process payments and handle billing inquiries.
  • Coordinate timely communication between veterinarians, technicians, and clients.
  • Maintain cleanliness and organization of the reception area & exam rooms prior to checking patients in.
  • Handle incoming emails and messages promptly.
  • Assist with inventory management as needed.
Qualifications/Requirements:
  • Previous experience as a veterinary receptionist or experience in the animal care setting is highly preferred.
  • High school diploma or equivalent; additional veterinary technology or related field education is a plus.
  • Strong and clear English language communication skills (both verbal and written) with a customer-focused attitude.
  • Ability to communicate calmly with a variety of clients, handle client complaints in a professional manner.
  • Maintain a professional attire i.e., hospital scrubs, neutral colors like navy blue/gray preferred.
  • Proficient in using computer systems; experience with veterinary software, IDEXX Neo, is an advantage.
  • Ability to multitask effectively in a busy environment while maintaining attention to detail.
  • Compassionate towards animals and their owners.
  • Open to work on weekends.
